Who We Are

[Company Name] ("we", "us", "our") operates FieldNotes, a job site management application for field workers and their companies.

Information We Collect

When you create an account, we collect:

• Account information: Username, email address, display name, and a 4-digit PIN (stored as a secure hash — we never see your actual PIN)
• Profile information: Optional profile URL (e.g., LinkedIn)
• Work content: Job notes, photos of job sites, and phase status updates you create
• Usage data: Login timestamps and session information

How We Use Your Information

• To provide and maintain the FieldNotes service
• To send email verification and PIN reset messages
• To display your notes and photos to members of your company
• To communicate service updates or changes

Information Sharing

We do not sell your personal information. We share your data only with:

• Your company: Admins and owners of companies you belong to can see your work notes, photos, and job activity
• Service providers: We use Resend for email delivery and DigitalOcean for hosting and database services. These providers process data on our behalf under their own privacy policies.

Data Retention

• Account data is retained while your account is active
• If you delete your account, your personal information is anonymized immediately. Your work notes and photos remain visible to your companies (attributed to "[Deleted User]") to preserve job history.
• Photos taken on job sites are company work product and are retained by the company even after account deletion
• Login sessions expire automatically after 30 days

Your Rights

You can:

• Access your data through your Profile screen
• Correct your information by editing your profile
• Delete your account from the Profile screen — this anonymizes your personal data and removes your photos

California Residents (CCPA)

If you are a California resident, you have the right to know what personal information we collect, request its deletion, and opt out of the sale of your data. We do not sell personal information. To exercise these rights, use the account deletion feature or contact us at the email below.

Cookies & Tracking

FieldNotes does not use cookies. Authentication is handled via session tokens stored in your browser's local storage. We do not use third-party analytics or tracking scripts.

Children's Privacy

FieldNotes is not intended for users under 13 years of age. We do not knowingly collect information from children.

Changes to This Policy

We may update this policy from time to time. We will notify you of material changes via email or in-app notice.

1. Acceptance of Terms

By creating a FieldNotes account or using the service, you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the service.

2. The Service

FieldNotes is a job site management tool that allows field workers and their companies to track work phases, log notes, and upload photos organized by job site address. The service is provided by [Company Name] ("we", "us", "our").

3. Accounts

• You must provide accurate information when creating an account
• You are responsible for maintaining the security of your PIN
• One account per person — do not share accounts
• You must be at least 13 years old to use FieldNotes

4. Acceptable Use

You agree not to:

• Upload illegal, harmful, or offensive content
• Use the service to harass, threaten, or harm others
• Attempt to access other users' accounts or data
• Interfere with or disrupt the service
• Use the service for any purpose other than legitimate work management

5. Your Content

Notes and photos created in FieldNotes are company work product. By using the service, you acknowledge that content created in the course of your work belongs to the company you are working for. Your company retains access to all notes and photos even if you leave or delete your account.

6. Payment Terms

• Pricing: $10 per active worker per month, billed to the company owner
• Free trial: Each new company receives a 30-day free trial
• Billing: After the trial, billing occurs monthly. You may cancel at any time.
• Refunds: No refunds for partial months. Cancellation takes effect at the end of the current billing period.

7. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted service. The service is provided "as is" without warranties of any kind, express or implied.

8. Limitation of Liability

To the maximum extent permitted by law, [Company Name] shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, arising out of or related to your use of the service.

9. Termination

• You may delete your account at any time from the Profile screen
• We may suspend or terminate accounts that violate these terms
• Upon termination, your personal data will be anonymized per our Privacy Policy

10. Governing Law

These terms are governed by the laws of the State of South Carolina, without regard to conflict of law principles.

11. Changes to Terms

We may update these terms from time to time. We will provide notice of material changes via email. Continued use of the service after changes constitutes acceptance of the updated terms.
